Step 1: Buy Microsoft 365 and Set Up Your Tenant

Choose a plan (Business Standard is great for most). Set up your tenant in the Microsoft 365 admin center. Verify your domain ownership by updating DNS (TXT record).

Step 2: Prepare Your Google Workspace

Enable IMAP and unlock user accounts for migration in Google Admin. Generate app-specific passwords for each user (or use OAuth if available). Create a CSV with each user’s email and credentials.

Step 3: Create Users in Microsoft 365

Add users manually or import them via CSV. Assign licenses (make sure OneDrive and Exchange Online are enabled). Set temporary passwords and communicate login info.

Step 4: Email Migration with Microsoft’s Migration Tool

Use Microsoft’s Exchange Admin Center > Migration feature. Choose “IMAP migration” and upload your CSV file.Run a test batch to ensure mail is flowing. Migrate users in waves (e.g., 5-10 at a time) to manage bandwidth.

Step 5: Migrate Google Drive to OneDrive or SharePoint

Option 1: Use Microsoft Migration Manager: Connect Google Drive API. Map users and file permissions. Option 2: Manually download via Google Takeout. Upload to OneDrive or SharePointReset sharing permissions post-upload.

Step 6: Move Calendars & Contacts

Export from Google Calendar as .ics. Import into Outlook Calendar via “Open Calendar > From File”. Export Google Contacts as .csv and import into Outlook People.

Step 7: Update DNS & Go Live

Switch MX, SPF, DKIM, and DMARC records to Microsoft. All new emails now flow into Outlook. Train users on Teams, OneDrive, and Office apps.

Bonus: Clean Up

Decommission old Google accounts after 30 days. Remove any duplicate files. Monitor mail flow and storage usage for each user.
